The Core Problem It Solves

Scheduling a meeting between two people in different time zones, with different calendar tools, typically involves three to six emails. Calendly collapses that to one: you send a link, the other person picks a time that works for them, and the meeting appears in both calendars automatically. The time zone conversion happens in the background — the person booking sees available times in their local time zone without either party doing any manual conversion.

How It Works

You connect Calendly to your calendar (Google Calendar, Outlook, or iCloud), set your availability windows, and configure your meeting types. Calendly reads your existing calendar to block out times you're already busy, so it only shows genuinely available slots. When someone books, a calendar event is created for both parties and a confirmation email is sent. If you've connected a video conferencing tool, the meeting link is included automatically.

Buffer Time Settings

Buffer time lets you add padding before and after meetings. The free plan allows one active event type. For many freelancers, one event type (a standard 30-minute or 60-minute call) is sufficient. The paid plan adds multiple event types (useful if you offer different call formats), group events, payment collection, and more detailed analytics. The $10/month standard plan is worth it if you regularly offer different types of meetings or want to collect payment at booking.

Integrations with Video Tools

Calendly integrates with Zoom, Google Meet, and Microsoft Teams. When a meeting is booked, the video link is automatically included in the calendar invite. This removes the step of manually creating a Zoom link and pasting it into the invite — a small but genuinely time-saving automation if you run many calls per week.

The Etiquette Question

Some people find receiving a Calendly link impersonal, particularly in early-stage client relationships where the dynamic is still being established. Sending a link can read as "fit into my schedule" rather than "let's find a time that works for both of us." In practice, most people appreciate the convenience once they've used it. The context matters — a Calendly link is fine for an inbound inquiry, but proposing times manually might be more appropriate when you're reaching out cold to a potential client.
